Job Summary 13;
The Development Business Manager serves as a business leader for the department,exercising strong communications, collaboration, and customer service skills in order to oversee, track, and troubleshoot department expenses, the budgeting process, and contract and vendor management. This position reports to the Assistant Vice President, Development Services.
Job Responsibilities 13;
Provide overall support for Department expenses:
: Perform purchase order lifecycle coordination for Development department: secure required vendor credentials, submit vendor invoices and ensure processing
: Investigate and resolve outstanding issues: follow up, investigate root cause, work with other CHOP departments; quantify issues and address with vendors or appropriate department contact
: Review and reconcile vendor invoices, purchase requests, chargebacks and accruals
:Serve as research or communication liaison with Accounts Payable
: Perform monthly audit of invoices in OnBase system, ensuring all are handled in timely fashion, and troubleshooting and problem solving as necessary.
: Handle vendor and staff inquiries regarding process, information required, etc.; create policies and procedures and distribute as needed
Provide budget support:
: Working with Finance Business Unit Manager, AVP Development Services, and program directors, facilitate and drive annual budget process.
: Working with Finance Business Manager, schedule and attend quarterly review meetings with program directors.
: Oversee accrual process at end of fiscal year.
:Assist AVP, Development Services with the management and tracking of the department budget.

Departmental Contract Oversight:
:Ensure all contracts, purchase orders and travel authorization forms comply with CHOP policies and procedures.
:Understand terms and deliverables of all current and proposed contracts
:Follow:up on service or project agreements and requirements to ensure compliance and satisfaction
:Understand terms and deadlines of contracts, and inform department programs of upcoming requirements
: Initiate discussions with department programs when new RFPs are on the horizon; work closely with AVP, Development Services and Contracts and Acquisitions on scope for RFPs.
:Serve as liaison to Contracts and Acquisitions department 13;

Vendor Management and Optimization
:Working with Data Services, ensure that access and credentialing requests for contractors and vendors are efficiently executed.
:Ensure vendor and contract list is accurately maintained.

:Serve as Timekeeper for the department
:Document budget processes, policies, and procedures.
:Initiate and implement new procedures to better manage contracts, vendors, and budget processes 13;
Required Licenses, Certifications, Registrations 13;
Required Education and Experience 13;
Required Education: Bachelors degree
Required Experience: 4 years experience in Development/fundraising operations, finance, or
Additional Technical Requirements 13;
: Strong technical ability required :: must have previous experience with financial and expense tracking software, and the ability to quickly learn new products.
: Ability to work independently, meet specific goals and objectives; proven ability to prioritize
: Intermediate level Excel
: Working knowledge of other Microsoft Office Products
: Experience training or assisting co:workers preferred
