Job Summary 13;
Reports to the Division Office Manager, coordinating and assuring that all administrative functions related to the General Anesthesiology Division are conducted consistently and completely. Must be able to maintain confidentiality of information, meet deadlines, work on several projects simultaneously, work independently and understand the goals and concepts involved in the work performed. Must be able to establish and maintain a shared work environment and consistently achieve open effective communication with physician staff within the Division, as well as medical and hospital staff throughout the institution. In addition, will be responsible for conducting and reporting financial transactions related to office supplies and professional expenses for the general anesthesiology budget.
Job Responsibilities 13;
1. Assistant to the Anesthesiology Board Runners in the General OR Perioperative Office (50)
:Performs administrative functions for the General Anesthesiology division primarily in the OR office, and acts as a liaison for the anesthesia providers to the administrative office
:Coordinates OR and NORA assignments schedule of all anesthesia providers including attendings, fellows, CRNA, residents, SRNAs, medical students, non:anesthesia rotators, and visitors
:Assign anesthesia providers to scheduled cases in Epic
:Prepare provider magnets for board schedule
:Prepare and distribute monthly contact lists of all anesthesia providers
:Provides reports of anesthesia records as requested
:Oversee and support radiation badge distribution/collection processes
:Assist Central Lab annual competency assessment process for all anesthesia providers
:Maintain cleanliness and replenish office supplies for Anesthesia Touchdown Office
:Prepare purchase requisitions for supplies and equipment as needed
:Follows up in a timely manner on all contacts, messages, and correspondence

2. Supports the Ambulatory Surgery Center Directors (ASC) (15)
:Supports ASC directors with all administrative responsibilities
:Prepares monthly ASC schedule under the supervision of the ASC director
:Coordinates and supports ASC meetings, including conference room and telephone line reservations, meeting agenda preparation and distribution, recording of meeting minutes and distribution
:Assists with revising policy documents as needed

3. Provide general administrative support to assigned general anesthesiology faculty (15)
:Assists with editorial preparation
:Answers phone calls, take messages as appropriate
:Maintains departmental files
:Types correspondence as requested
:Maintains CVs, CME data, and processes professional expense requests
:Retrieves articles from library as requested
:Prepares check requests and reimbursement requests as requested

4. Provide general administrative support to General Anesthesiology Division (20)
:Answers phone calls, routes calls and take messages as appropriate
:Sorts, screens and routes incoming mail, distributes correspondence and other materials to department staff
:Prepare outgoing mail for other departmental divisions and billing office
:Supports inventory/ordering of office supplies and maintenance of office machines
:Assists with lab coat laundry service
:Supports other administrative duties as necessary and appropriate 13;

High School diploma mandatory.
An Associate and/or Bachelors degree preferred with a minimum of three:five years of related experience in a healthcare or academic medical environment.
