Job Summary 13;
The Executive Assistant to the Physician:in:Chief and Chair will perform administrative duties of a highly complex nature. The Executive Assistant will coordinate significant internal and external communications, and meetings. Must be highly organized and able to distinguish among priority items, and plan all scheduled items in detail. Must manage difficult situations with skill, patience, and diplomacy.

Job Responsibilities 13;
* Manage calendar with efficient scheduling of meetings including providing agenda items and relevant materials and be able to proactively prioritize.
* Prepare and facilitate letters and other written communication. Provide assistance with formatting, editing and submission of correspondence, manuscripts, book chapters, etc. as requested with attention to approaching deadlines.
* Is familiar with and able to access PubMed and other available sources to search and download journal articles
* Answer telephones, route callers, take messages and provide information to callers promptly and courteously demonstrating strong communication skills.
* Maintain files and records according to departmental procedures.
* Arrange all travel for physician:in:chief and chair including air and/or ground transportation, lodging, conference registration, etc. Submit travel expense reimbursements.
* Schedule and coordinate meetings which may include travel and lodging arrangements for visitors from outside the institution.
* Prepare PowerPoint slides for lectures, conferences and departmental presentations

:High School/GED
:Five to ten years administrative/ senior level experience, including experience supporting attorneys in a corporate or law firm environment.
:Accurate typing required.
:Excellent phone etiquette and interpersonal/communication skills.
: Ability to handle confidential materials.
: Ability to handle multiple tasks and to prioritize.
: Ability to anticipate needs of physician:in:chief and chair
: Excellent organizational, attention to detail, work planning and follow:through skills.
: Ability to negotiate or mediate difficult situations with tact and diplomacy.
: Ability to work independently and make job:related decisions within authorized limits as well as being part of a support team environment.
:Additional Technical Requirements
: Knowledge of Microsoft Word, Excel and PowerPoint and Outlook.
